
Terms & Conditions for Company Participation in IT-DAY

§1. Registration
Participation is confirmed when a company submits the official registration form and receives a written order confirmation from IT-DAY ApS. Registration is binding as of the confirmation date.
§2. Invoicing and Payment Terms
To provide flexibility, companies can choose to be invoiced across two calendar years (if selected during registration).
§2.1. Payment: Payment is due 30 days from the invoice date, unless otherwise agreed in writing.
§3. Cancellation Policy
Due to our planning considerations and cost reduction limits, the customer has no cancellation right after the purchase. The parties agree that the customer is obligated to pay the price of their participation, even if the customer chooses not to carry out their participation or if they are in any other way hindered in participating.
§3.1. Right to Cancel by IT-DAY: IT-DAY reserves the right to cancel a company’s participation. If IT-DAY does this the company will receive a refund minus any non-recoverable cots. However, IT-DAY reserves the right to withhold such refund if the company has acted negligently or breached participation expectations—for example, by failing to show up to their booth, repeatedly ignoring communication, or otherwise compromising the integrity of the event.
§3.2. IT-DAY retains the right to cancel the fairs completely. If this occurs the companies will be paid back in full. However, already used benefits such as venue and marketing will be subtracted from the price if these costs are irreversible for IT-DAY.
§4. Event Changes
We reserve the right to change the event in terms of, but not limited to, date and venue location. We will notify attendees and exhibitors of any such changes in a timely manner.
§4.1. IT-DAY is striving to host the IT-Career fairs physically but retains the right to host the fairs digitally depending on the governmental restrictions, or any other restrictions, at the time of the fair. If the fairs are to be hosted digitally, IT-DAY is not obligated to perform a discount.
§5. Force Majeure
We are not liable for any failure to perform our obligations if such failure results from events beyond our reasonable control, including but not limited to natural disasters, pandemics, or government actions. IT-DAY is not obligated to perform a discount or a refund.
§6. Liability and Insurance
While we are committed to ensuring a safe and professional environment, we cannot be held liable for any injuries or damages that occur during the Career Fair. Attendees and exhibitors participate at their own risk. This also applies to the participating companies’ booth materials and any items delivered to IT-DAY's possession in the days before and after the fairs. Compensation for these should be covered by the participating companies own insurance.
§7. Marketing Materials
There is no guarantee that sent marketing materials will be posted on our social media pages. IT-DAY retains the right to only post content that we estimate to create the best incitement for the IT-Candidates participation, and that retains our brand image. Moreover, it is possible that we receive such a large amount of content, that we can't post all of it before the fairs.
We will however do our best to advise companies in terms of marketing, and in terms of sending the marketing in a timely manner. The sooner the marketing materials are in our hands - the better the chance it has of being posted.
§8. Hyper Presentations
Only the first 30 registered companies per city are entitled to a Hyper Presentation. This will be specified on the invoice. Presentations can be held in Danish or English.
§9. Booth Equipment
Companies are expected to bring their own exhibition equipment unless rental is arranged through IT-DAY in advance.
§10. Exhibitor Conduct
We kindly ask that all exhibitors refrain from dismantling their booth before the fair officially ends unless otherwise agreed with IT-DAY.
§11. Data Protection
By registering, company representatives accept that their contact information will be stored by IT-DAY for purposes related to event planning, communication, and delivery of services. Data is handled in accordance with our Privacy Policy. Representatives can request deletion at any time.
§12. Photos and Video
By attending, company representatives consent to the use of photos and videos taken during the event for IT-DAY marketing purposes. Anyone can request exclusion by contacting us at info@itday.dk.
§13. Spam Compliance and Consent for Electronic Contact
By accepting our terms and conditions you confirm that you provide valid, voluntary, informed, unambiguous, and specific consent for us to contact you, and other contacts indicated in this form as well as any representatives that exhibits on your behalf in your booth, electronically in accordance with the applicable provisions of the Marketing Act and the Spam Prohibition Guidelines. This consent may be withdrawn at any time by contacting us at info@itday.dk.
§14. Use of Company Name, Logo, and Link
By participating in IT-DAY events, the company grants IT-DAY a non-exclusive, royalty-free right to use the company’s name and logo for the purpose of communicating their participation. This includes, but is not limited to, placement on IT-DAY's website, printed and digital event materials, and other marketing content.
Furthermore, IT-DAY may include a direct link to the company's official website to direct IT-Profiles towards more information about the company. This use is limited to branding efforts directly related to the promotion and documentation of the company's participation in IT-DAY events.
§15. Governing Law and Jurisdiction
This agreement shall be governed by and construed in accordance with Danish law. Any disputes arising out of or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the Danish courts.
§16. Dispute Resolution
In the event of any dispute or disagreement concerning the interpretation or application of these Terms and Conditions, the parties shall initially seek to resolve the matter amicably through mediation. If an amicable resolution cannot be reached, the dispute shall be finally settled by the Danish courts in accordance with §15.
§17. Modifications
IT-DAY reserves the right to amend these Terms and Conditions at any time. Any such amendments will be communicated to participating companies at least 30 days before they take effect, except in cases where an immediate change is required by law.
